How to Set Up Personalized Greetings

Personalized Greetings, managed in the Web Portal, are individual voicemail greetings that callers hear when your phone is busy or you do not answer.

To Manage Your Greetings

  1. Click Greetings on the Messaging menu of the Web Portal.


To set your Busy or No Answer Greeting to the default system greeting

  1. Select the radio button next to System greeting

  1. Click OK or Apply to save changes. Callers will now hear the default system greeting when your phone is busy or there is no answer.

To Upload a Pre-Record Busy or No Answer Greeting:

  1. For a Busy greeting, select the radio button next to Personal greeting. For a No Answer greeting, select the radio button next to Unavailable greeting.
  2. Use the Browse button to locate, on your computer, the pre-recorded .wav file you wish to use. All files to be uploaded must have this format: .wav file type, CCITT u-Law, 8.000 kHz, 8 bit Mono.
  3. Click Apply to upload the file. Callers will now hear the pre-recorded greeting.

To Upload Pre-Recorded Alternate No Answer Greetings:

  1. Enter the name of the alternate geeting in the Greeting Name field.

  1. Use the Browse button to locate, on your computer, the file you would like to use for your Alternate No Answer greeting.
  2. Click Apply to upload your file. Repeat for up to three recordings. All files must have this format: .wave file type, CCITTu-Law, 8.000 kHz, 8 bit Mono.
  3. Select the radio button next to the greeting you would like to use. Only one greeting may be active at a time.
  4. Click Apply to save your settings.

To Change the Number of Rings Before Going to Voicemail:

  1. Select the desired radio button next to number of rings before greeting. Note that other services, like Call Forwarding No Answer, share this setting. If the setting is changed for one service, it affects all other services using this value.

  1. Click Apply or OK to save your changes.

Auto Attendant Greeting Recording Instructions (via the phone)

  1. Record your Auto Attendant greetings over the phone, through the Voice Portal.
  2. Dial into the Voice Portal by pressing the voicemail button on any VoIP phone in your office.
  3. Press * to enter a different extension.
  4. Enter the extension of the Voice Portal
  5. Enter your Voice Portal password.
  6. Press 1 to change Auto Attendant Greeting.
  7. Enter the Auto Attendant number.
  8. Press 1 to change the Business Hours greeting, or 2 to change the After Hours greeting.
    • Press 1 to record a new greeting.
    • Press 2 to listen to the current greeting.
    • Press 3 to revert to the default greeting.
  9. Repeat as needed for additional greetings.

Auto Attendant Greeting Upload Instructions

Upload a pre-recorded greeting for your Auto Attendant, through the Web Portal.

  1. Login to the web portal with your Administrator credentials
  2. Click Services to open the Services page

  1. Click Auto Attendant to open the Auto Attendant page.

  1. Click on the Auto Attendant you wish to modify.
  2. Click the desired menu link for the greeting your wish to upload, either the Business Menu or the After Hours Menu link. This opens the Business or After Hours menu.

  1. Select the radio button next to Personal Greeting.
  2. Use the Browse button to locate, on your computer, the file you would like to use for your greeting. The file must be in this format: .wav file type, CCITT u-Law, 8.000 kHz, 8 bit Mono.
  3. Click OK to save your settings. Callers will hear the new greeting immediately.
  4. Repeat as needed for additional greetings.
